We are Borders Family History Society (“BordersFHS”) registered as a charity in Scotland, No. SC005531.

Our office and research centre is at 52 Overhaugh Street, Galashiels, TD1 1DP, Scotland.

The Society has notified its holdings of data to the Information Commissioner under the Data Protection Act 1998.

It is BordersFHS’s policy to respect your privacy regarding any information we may collect while operating our websites.

Purpose of this Notice

The following statement describes the privacy practices for the Borders Family History Society website.

We hold data for the following purposes:

  • administration of membership records
  • realising the objectives of a charitable organisation or voluntary body
  • information and databank administration

We collect personal information from our users only if they wish to contact us, or pertaining to the user’s membership of BordersFHS.  For memberships, we require your name, your postal address and email address, and optionally, your telephone number.

We may also require this information when you register to use our Forum or Surname Interests for sharing Family History research.

IP addresses and other non-personally-identifying information may be used in aggregating user statistics and for better understanding of how our website is used. These may include typical information made available by web browsers and servers, such as the browser type, language preference, referring site, and the date and time of each visitor request, may be logged for aggregate statistics and diagnosis.

The website may contain links to websites that have been produced, and updated by other persons, companies, and organisations. We have included these links because it is our opinion that they may be of interest to visitors.  We are not responsible for the privacy practices, the functionality, or the content of such websites, and we do not guarantee the accuracy or completeness of any information they portray. Please note that we do not necessarily agree with the opinions expressed on these websites. This privacy statement applies only to Borders Family History Society.

Your personal information

BordersFHS will use your personal information only for the purpose of administering your Society membership.

We will not sell, distribute or lease your personal information to any third parties.

You may review and edit the information that we hold by logging in to your membership account and clicking on My Account.

To correct any information that you cannot edit directly, please contact our Membership team by email or write to us.

Processing personal information

BordersFHS may store and process personal data electronically on the legal basis of contractual necessity, taking all measures reasonably necessary to protect against the unauthorized access, use, alteration or destruction of potentially personally-identifying and personally-identifying information

Personal details are held on the secure servers of our website host, Internet Creation. This enables you to adjust your information directly (e.g. changing postal address, email address, etc. as necessary) so giving you control over your data. You do this by logging into your secure profile page on this website.

We don't share personal information with any other organisation, except in order to process your payments or if required by law or legal process, without your consent.

We do not retain any payment card or bank account details on file.

We pass the name and house name or number and the postcode of subscribers who ask us under Gift Aid to reclaim tax on their subscription to H M Revenues & Customs (we have never been asked for anyone's address).

If your membership is current we will continue to send you the BordersFHS members magazine and Newsletters. The lawful basis upon which we send you these communications is contractual necessity.

If your membership has lapsed your details are retained in our database so that you may be able to revive your membership without starting a new account if desired. If you have contributed to our Forum or Surname Interests in the past your posts remain associated with your user name.

We will not send you journals, newsletters, invitations or announcements. We may occasionally send you emails on the lawful basis of legitimate interest about changes in our policies.

If you have made an online purchase from our shop we will have stored data sufficient to fulfil the order(s) and the information stored may include your IP address when making digital purchases or a delivery address for books and CDs sent by post. All payment transactions are handled by WorldPay. No credit or debit card information is collected, processed or stored by our servers.


Donations Button

No information about the transaction is stored or processed by this website when you use the WorldPay donation button. Some personally identifying data you have shared with WorldPay in order to process your payment may be made available to BordersFHS by WorldPay.
